Update Grades Instructions:

  • If you are Importing Grades from other programs see below

  • If you are creating your own grades info, select "I want to manually enter my grades" and make sure "Hand Enter" is selected in the "How would you like to load your Grades information?" drop-down box.  To start defining some students, enter in a Student ID and Student Name, type something in the Grades Content box and click Insert.  Then, repeat the process for each student.  You can add more students at any time.  A student's ID should be known only by that student as the ID will be his/her key to accessing his/her grades/private communications.

  • Editing/Deleting IDs/Names/Grades Content: you can edit an entry by clicking the Edit button for an entry and clicking Update when done.  To delete an entry, click the Delete button for an entry.  Alternatively, you can click the Delete All Grades button if you wish to delete all existing grades records for that Grades page - this would be quicker than clicking each individual Delete button.

  • A student's ID should be known only by that student, as the ID will be his/her key to accessing his/her grades/private communications.  If you choose a purely numeric ID, the IDs should not be in numerical sequence or even close to numeric sequence.  Rather, the IDs should be spread sparsely and/or randomly over all possible IDs.  We also recommend that when you enter in grades content that you NOT include a student's name in the text.  Then, if someone purposely or accidentally enters an ID other than their own that happens to match someone else's ID, they will still not know whose grades they are looking at.
  • Changing the Instructions/Student ID Label Text: To change the text that is displayed on the Grades View page before or after entering in grades manually (or before importing a set of grades), go to the Update Grades page, make the desired changes in the Instructions Text and/or Student ID Label Text boxes, and then click the Update button at the bottom of the page.  To do this after importing grades by Copy and Paste (or after importing a Grades Records file), select "I want to manually enter my grades", make the desired changes and click the Update button at the bottom of the page.  (Note that when importing Grades Web Pages from programs such as Easy Grade Pro, Gradekeeper® or Making the Grade, the text that will be displayed on the Grades View page is set during the export from the gradebook program, so it cannot be changed after the import has been completed.)

  • Importing by Copy and Paste: it is possible to Paste text that has been Copied from various programs such as Microsoft® Excel.  The data must be in the Tab-delimited or Comma-separated values format.  The columns of data should be in the following order: Student Name, Student ID, Confidential Grades Information (you can have multiple columns of Grades Info).  To use this option, select "I want to manually enter my grades", and then select "Copy & Paste" from the "How would you like to load your Grades information?" drop-down box.  Additional notes:
    • When you are importing grades, you can also import a row of column headers, but be sure to place a check in the "First Row in pasted content contains important header information" box during the import.

    • The amount of data that you can paste into the import "textarea" box and successfully import is limited only by your browser - generally about 100,000 characters.

    • You can import multiple batches of data.  When you import info for a given Student ID, the newly imported info will overlay and replace all other info for that Student ID, regardless of how that info was originally entered.  If you would like the newly imported info to be combined with the previously entered info for each Student ID, remove the check from the "Delete all the previously existing grades when I import" box during the import.

    • Within one batch of data, you can have multiple records for the same Student ID, and those records will combined into a composite record for that Student ID.

    • You can Edit or Delete individual imported records by selecting "I want to manually enter my grades" and then clicking the appropriate Edit or Delete button.


  • Import Grade Records FileYou can import files that are in a supported format by selecting "I want to import a file I have created, or a file that my gradebook exported", and then selecting "Import from File" from the "How would you like to load your Grades information?" drop-down box.  Files from gradebooks and other programs may be imported if they are in the Tab-delimited (.txt or .tab) or Comma-separated values (.csv) format, and if the Student Name and Student ID are the first two columns.  As an example, you can import the Grades Export file that is emailed to you when you use the Retrieve All Responses feature of a Response page - see more details.  Additional notes:
    • When you are importing grades, you can also import a row of column headers, but be sure to place a check in the "First Row in pasted content contains important header information" box during the import.
